Full time -- Accounting Clerk/Payroll Specialist - Finance
Position Overview:
Hendry Regional Medical Center is seeking a dedicated and detail-oriented individual to join our Finance team as an Accounts Payable/Accounting Clerk and Time & Attendance/Payroll Specialist. This hybrid role will require the right candidate to manage both accounts payable functions and time & attendance functions to include the facilitation of payroll processing for hospital employees through a payroll administration company. This individual will be expected to be part of a transition team over a period of 9-15 months converting the time & attendance and payroll function in the organization to the Finance department. This position will be under the supervision of the hospital Controller. The ideal candidate will be a reliable and organized professional with experience in accounting and payroll, preferably in a healthcare environment.
Primary Duties:
Accounts Payable Duties:
• Process and maintain accurate accounts payable records for all hospital invoices.
• Review and verify invoices, ensuring proper approval and adherence to hospital policies.
• Reconcile purchase orders versus vendor invoices and statements and resolve discrepancies in a timely manner.
• Prepare checks for payments and handle vendor inquiries.
• Maintain accurate and up-to-date accounts payable files.
• Assist with month-end and year-end closing activities related to accounts payable, including preparation of 1099s.
Payroll Clerk Duties:
• Assist department directors with accurate time & attendance records throughout the pay period.
• Perform the review and confirmation of accuracy of time & attendance records prior to bi-weekly payroll processing.
• Assist in the preparation and processing of bi-weekly payroll for hospital employees through the payroll administration vendor.
• Works cooperatively with the human resources department to ensure accuracy of employee deductions, benefits calculations and application of hospital benefits and leave administration policies are fully implemented and in compliance.
• Maintain payroll records and ensure compliance with all relevant wage laws and hospital policies.
• Respond to employee inquiries regarding pay and deductions.
• Works with the payroll administration vendor to ensure quarterly and year-end payroll tax filings and reports are in compliance, including 941’s, W-2s and any other required reports.
• Prepares all payroll reports as required and as requested for various audits and quality controls.
• Ensure confidentiality of employee payroll information.
Qualifications:
High school diploma or equivalent required; Associate’s degree in accounting, business, or a related field preferred.
Minimum of 2-3 years of experience in accounts payable, payroll, hospital business office, or banking is required. Experience in a healthcare setting is preferred.
Proven/strong knowledge of accounting principles and payroll regulations.
Proficiency in web-based programs and Microsoft Office suite of products including Outlook, Word and advanced Excel skills required.
Status: Full time
8 Hour Shifts, 40 hours per week, Monday-Friday, or as required of the position due to deadlines.
